Websites, Events, and Educational Programs

1. Who We Are

SoulTech AI Foundation, doing business as SoulTech Foundation (“SoulTech,” “the Foundation,” “we,” “us,” or “our”), is a U.S. nonprofit organization dedicated to helping individuals and communities flourish in the age of artificial intelligence through education, wellness, emotional resilience, conscious leadership, and human development.

This Privacy Policy describes how we collect, use, share, retain, and protect personal information in connection with:

• Our websites, including soultechfoundation.org and herhealthsummit.com, and any related subdomains, landing pages, or pages we operate;
• Events we host, co-host, or benefit from, including the Her Health Summit and other SoulTech gatherings, festivals, workshops, and launch events;
• Educational programs, including SoulTech Academy, SoulTech AI Literacy Training (in partnership with Otermans Institute), SoulBloom, SoulBlossom for Kids, workshops, courses, certifications, and related learning platforms;
• Newsletters, Substack or similar publications, podcasts, and other media associated with the Foundation;
• Merchandise sales that benefit the Foundation;
• Donations, sponsorships, volunteer applications, speaker and partner inquiries; and
• Offline interactions tied to the above, such as in-person registration desks, photo/video capture at events, and paper sign-in sheets.

This Policy does not apply to websites, platforms, or organizations we do not control, including third-party ticket platforms, payment processors, learning partners, social networks, or beneficiary charities, except to the limited extent we receive information from them about you.

2. Information We Collect

2.1 Information you provide to us

Depending on how you interact with us, you may provide:

• Identity and contact data. Name, email address, phone number, mailing or billing address, organization name, job title, and WhatsApp or other messaging handle.
• Account and program data. Login credentials, profile information, program applications, eligibility details (for example, age range for AI Literacy Training), progress, completion, and certification records.
• Event data. Ticket type, registration details, dietary or accessibility requests you choose to share, guest names, session selections, and on-site check-in information.
• Payment and donation data. Donation amount, designation, acknowledgment preferences, and limited billing details. Full payment card numbers are typically collected and processed by our payment processors, not stored by the Foundation.
• Communications. Messages sent through contact forms, email, WhatsApp, social media, surveys, testimonials, speaker submissions, sponsor applications, and volunteer forms.
• Health and wellness information you choose to share. Her Health Summit and wellness programming may invite optional, self-disclosed information about interests, experiences, or accessibility needs. We do not require medical records. Please do not send sensitive health information unless we specifically request it for an accessibility or program purpose you have agreed to.
• Children’s information (SoulBlossom and youth programs). When a parent or guardian enrolls a child, we may collect the child’s name, age or grade, parent/guardian contact information, and program participation records. See Section 9.
• Photos, audio, and video. If you attend an event, speak, volunteer, or participate in a recorded program, we may capture your image, voice, and likeness.

2.2 Information collected automatically

When you visit our websites or interact with our digital properties, we and our service providers may automatically collect:

• Device and usage data, such as IP address, browser type, operating system, referring URLs, pages viewed, time spent, and click activity;
• Approximate location derived from IP address;
• Cookies, pixels, and similar technologies, including Google reCAPTCHA used to protect forms from abuse; and
• Email engagement metrics (opens and clicks) if you receive our communications.

2.3 Information from third parties

We may receive information from:

• Ticket and event platforms (for example, Eventbrite) when you register for Her Health Summit or other events;
• Merchandise platforms (for example, Printify or similar print-on-demand stores);
• Donation and payment processors;
• Education partners, including Otermans Institute for the SoulTech AI Literacy Training Program;
• Sponsors, venues, co-hosts, and beneficiary organizations, when relevant to an event or collaboration;
• Social networks if you interact with our pages or use social login; and
• Publicly available sources, such as professional profiles of speakers, sponsors, or partners.

3. How We Use Information

We use personal information to operate our nonprofit mission and related activities, including to:

• Provide, administer, and improve websites, events, courses, and community programs;
• Process registrations, tickets, donations, merchandise orders, and acknowledgments;
• Communicate about programs, events, impact updates, and fundraising, including email and messaging you opt into;
• Deliver educational content, track completion, and issue certificates where applicable;
• Coordinate with partners such as Otermans Institute, venues, speakers, sponsors, and beneficiary charities;
• Provide accessibility accommodations and event operations (check-in, seating, safety);
• Create and share photographs, recordings, recaps, reports, and promotional materials from public events and programs, as described in Section 7;
• Measure impact, produce aggregated reports for donors, boards, and grantmakers, and improve program design;
• Protect against fraud, spam, abuse, and security incidents (including through reCAPTCHA);
• Comply with law, including nonprofit recordkeeping, tax substantiation for donations, and responses to lawful requests; and
• With your consent, for any additional purpose we describe at the time of collection.

We do not sell your personal information for money. We do not use personal information to train third-party general-purpose AI models. If we ever use AI tools to help administer communications or programs, those tools will be used under vendor contracts and will not be used to make solely automated decisions that produce legal or similarly significant effects about you.

4. How We Share Information

We share personal information only as needed to operate our mission, and in the following circumstances:

4.1 Service providers

We use vendors who process information on our behalf, which may include website hosting, form and security tools (including Google reCAPTCHA), email and newsletter platforms, Substack or similar publishers, payment and donation processors, event ticketing platforms, print-on-demand merchandisers, cloud storage, accounting, and professional advisors (legal, accounting, insurance).

4.2 Program and event partners

For specific programs and events we may share relevant information with:

• Event venues, production teams, and ticketing platforms for Her Health Summit and other events;
• Sponsors and co-hosts, limited to what is needed for sponsorship fulfillment (for example, recognizing a named sponsor at an event). We do not provide sponsor marketing lists unless you opt in;
• Beneficiary charities associated with a benefit event, typically in aggregated form or as needed for joint impact reporting, not as a marketing list unless you request to be connected.

4.3 Legal, safety, and organizational reasons

We may disclose information if we believe in good faith that disclosure is required by law or necessary to protect the rights, safety, or property of the Foundation, our participants, or the public; to investigate fraud or security issues; or in connection with a reorganization, merger, or transfer of nonprofit assets, subject to appropriate safeguards.

4.4 With your direction or consent

We may share information when you ask us to (for example, introducing you to a partner organization) or when you provide consent.

We do not sell personal information. We do not rent or trade donor, attendee, or student lists. We do not share personal information for third-party cross-context behavioral advertising.

5. Cookies and Tracking Technologies

Our websites may use cookies and similar technologies to operate the site, remember preferences, protect forms, and understand aggregate traffic. Google reCAPTCHA may collect hardware and software information for security purposes and is subject to Google’s Privacy Policy and Terms of Service.

You can control cookies through your browser settings. Blocking some cookies may limit site features such as forms or checkout. We do not currently respond to every “Do Not Track” signal because there is no consistent industry standard, but we honor legally required opt-out mechanisms where they apply.

6. Donations, Tickets, and Merchandise

When you donate, buy a ticket, or purchase merchandise, payment is generally processed by a third-party processor or platform. Those companies handle card data under their own privacy policies. We receive confirmation details needed for fulfillment, receipts, tax acknowledgments, and customer support.

Donation records are retained as required for nonprofit financial and tax compliance. If you wish to remain anonymous in public donor listings, tell us at the time of your gift. We still need sufficient information internally to process the gift and issue a receipt.

7. Events, Photography, and Recordings

Her Health Summit and other SoulTech events are public or semi-public community gatherings. We and our contractors may photograph, record audio, and film for documentation, education, fundraising, media, and promotion of the Foundation’s mission.

By attending a public session of an event, you understand that your image or voice may appear in crowd shots, recap videos, social posts, websites, reports, and future promotional materials. If you are a featured speaker, honoree, sponsor representative, or workshop leader, additional recording and publicity is expected as part of that role.

If you do not want to be prominently featured, please notify event staff at check-in or email hello@soultechfoundation.org before the event. We will make reasonable efforts to honor requests (for example, avoiding staged portraits), but we cannot guarantee exclusion from wide crowd or ambient recordings of a public event. Private or sensitive breakout conversations should not be assumed confidential unless we expressly designate a session as closed or off-the-record.

8. Educational Programs

SoulTech Educational Programs may include SoulTech Academy courses, AI Literacy Training, SoulBloom, SoulBlossom for Kids, workshops, and related cohorts.

For the SoulTech AI Literacy Training Program operated with Otermans Institute, enrollment, coursework, assessments, and certification may be administered on the partner’s systems. Information you submit for that program will be handled by both the Foundation and Otermans Institute as needed to deliver the course. Please also review the partner’s privacy notice when you create an account or begin lessons.

We use program data to deliver instruction, measure learning outcomes, issue certificates, report aggregated impact (for example, number of learners served), improve curriculum, and communicate with enrolled participants. We do not publish identifiable student work or grades without permission.

9. Children’s Privacy

SoulBlossom and certain educational or event activities may involve children and teens. Our public websites and Her Health Summit are not directed to children under 13.

We do not knowingly collect personal information online directly from children under 13 without verifiable parental consent, except as permitted by the Children’s Online Privacy Protection Act (COPPA) and other applicable law. Parents or guardians should complete registration for young children.

If we learn that we have collected personal information from a child under 13 without required consent, we will delete it or seek appropriate consent. Parents or guardians may review, correct, or request deletion of their child’s information by emailing hello@soultechfoundation.org.

For programs serving teens (including AI Literacy Training, which is described as serving individuals ages 16 to 65), we collect only what is needed to enroll and deliver the program and we encourage parents of minors to supervise participation.

10. How We Protect Information

We use administrative, technical, and physical safeguards reasonably designed to protect personal information, including limited staff access, reputable service providers, and encrypted transmission where supported (HTTPS). No method of transmission or storage is completely secure. Please use unique passwords for any accounts and notify us promptly of suspected unauthorized access.

11. How Long We Keep Information

We keep personal information only as long as needed for the purposes described in this Policy, including:

• Program and event administration;
• Donor and financial recordkeeping (generally at least seven years, or longer if required by tax or charity law);
• Legal claims, audits, and safety; and
• Communications until you unsubscribe or we determine the relationship has ended.

We may retain de-identified or aggregated information that can no longer reasonably identify you.

12. Your Choices and Rights

12.1 Communication preferences

You may unsubscribe from marketing or event emails using the link in those emails or by writing to hello@soultechfoundation.org. You may still receive transactional messages about a registration, donation, order, or program you joined. You can end WhatsApp or similar messaging by telling us to stop or using the platform’s controls.

12.2 Access, correction, and deletion

You may request access to, correction of, or deletion of personal information we hold about you, subject to legal exceptions (for example, donation records we must retain). Send requests to hello@soultechfoundation.org with “Privacy Request” in the subject line. We may need to verify your identity before fulfilling a request.

12.3 State privacy rights

Depending on your state of residence, you may have additional rights regarding personal information, such as the right to know, delete, correct, or opt out of certain sharing. As a 501(c)(3) nonprofit, some comprehensive state consumer privacy laws may not apply to us or may apply only in limited ways. Regardless of whether a particular statute applies, you may contact us to exercise the choices described above. We will not discriminate against you for exercising privacy rights.

California residents: We do not sell or share personal information as those terms are defined in the California Consumer Privacy Act, as amended. If that ever changes, we will update this Policy and provide required notices and opt-outs.

Florida residents: We take reasonable measures to protect personal information consistent with the Florida Information Protection Act and other applicable Florida law.

12.4 International visitors

We are based in the United States. If you access our websites or programs from outside the United States, your information will be processed in the U.S. and in any other country where our providers operate. Those countries may have different data-protection rules than your home country.

13. Third-Party Links and Platforms

Our websites and communications may link to Eventbrite, Amazon, Printify, Substack, social media, partner sites, sponsor sites, and beneficiary charities. Their privacy practices are governed by their own policies. We encourage you to read them before providing information.

14. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last Updated” date will change when we do. Material changes will be posted on our website. Continued use of our websites, events, or programs after an update means you acknowledge the revised Policy. For significant changes that require consent under applicable law, we will request that consent.

16. Additional Notices for Specific Activities

16.1 Her Health Summit

Her Health Summit is a benefit event associated with SoulTech Foundation supporting organizations that serve women and children. Ticket purchases, waitlists, speaker applications, sponsor materials, and on-site experiences are covered by this Policy. Ticketing platforms apply their own policies to the purchase transaction. Optional health-related discussion at the Summit is educational and community-based; it is not medical care, and you should not submit medical records through general event forms.

16.2 SoulTech Educational Programs

Enrollment forms, learning records, certificates, and communications about SoulTech Academy, AI Literacy Training, SoulBloom, SoulBlossom, and similar offerings are used to deliver and improve those programs. Partner platforms may require a separate account. Do not upload highly sensitive personal data (Social Security numbers, full medical files, or financial account numbers) into general course discussion spaces.

16.3 Volunteers, speakers, and sponsors

If you apply to volunteer, speak, or sponsor, we will use your information to evaluate and administer that relationship, including sharing relevant details with event production staff. Biographical information and photos you provide may be published in programs, websites, and promotional materials.
